We are certain that in our industry and probably in yours also, the hardest part of any job is “getting it” and references are a large factor toward that result.
We offer the following suggestions when hiring a caterer for your next event:
A: If there is a committee making a decision, that committee should choose a spokesperson to communicate with the vendor. That person should be able to make a binding decision. This is unscientific but we find that the smaller the committee – the better the event.
B: Inevitably, if bids are requested only one will be chosen. It’s easy to tell the bid winner that they have the job, but the others should be notified also (as a courtesy) so that they can limit their time and expenses. Even the best of caterers are no stranger to rejection. There are multitudes of reasons why clients choose one caterer over the other. Remember, caterers are mostly selling their time and if you don’t want their services please contact them quickly so they have the opportunity to sell the date to another client.
C: When bidding out a job, giving a caterer an approximate budget is a big help. This is not an invitation to spend all your money, but guidelines do help.
D: Please shop “Apples to Apples”. Be as specific as possible. Remember both “Burger King” and the “Chez Van Dome” are both considered restaurants in the dictionary. There may be a reason for price difference.
E: Quality caterers are business people first. The key to survival in business is negotiation. Never be afraid to negotiate price with any caterer. The worst that can happen is that they will say “no”.
